Verdavu ("we", "our", or "us") operates the venue management platform available at verdavu.com. This Privacy Policy explains how we collect, use, disclose, and protect information when you use our platform. By accessing or using Verdavu, you agree to the terms of this policy.

1. Information We Collect

Information You Provide

  • Account information: Your name, email address, venue name, and any details you provide when applying for access or setting up your account.
  • Venue data: Information about your venue including spaces, pricing, branding, and operational settings.
  • Booking and client data: Enquiry details, contact records, quotes, agreements, payment records, and event information that you enter into the platform.
  • Communications: Any messages, notes, or content you create within the platform.
  • Uploaded documents: PDFs or other files you upload for brand extraction or quote analysis. These are processed and not permanently stored.

Information Collected Automatically

  • Usage data: Pages visited, features used, actions taken, and time spent on the platform.
  • Device and browser information: IP address, browser type, operating system, and device identifiers.
  • Cookies and session data: We use cookies to maintain your session and remember your preferences.

Information From Third Parties

  • Payment processors: When payments are processed through our integrated payment partners, we receive transaction confirmation data but do not store full payment card details.
  • Public enquiry forms: Contact information submitted by your clients through your venue's public enquiry form is stored on your behalf.

2. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain the Verdavu platform
  • Process and manage venue bookings, quotes, agreements, and payments on your behalf
  • Generate documents, notifications, and communications as directed by you
  • Personalise your experience and improve the platform's intelligence features
  • Communicate with you about your account, updates, and support
  • Monitor platform performance, detect errors, and prevent abuse
  • Comply with legal obligations

We do not sell your data. We do not use your venue's client data to train AI models or for any purpose other than providing you with the platform's services.

3. Data Storage and Security

Your data is stored on servers hosted by reputable cloud infrastructure providers. We implement industry-standard security measures including encrypted connections (TLS/HTTPS), hashed passwords, and access controls.

No method of electronic transmission or storage is 100% secure. While we take data protection seriously and implement appropriate safeguards, we cannot guarantee absolute security.

Uploaded documents provided for brand extraction and AI analysis are processed temporarily and are not retained beyond the immediate processing session.

4. Data Sharing and Disclosure

We do not sell, trade, or rent your personal information to third parties. We may share information only in the following circumstances:

  • Service providers: Trusted third-party providers who assist us in operating the platform (hosting, email delivery, payment processing). These providers are bound by confidentiality obligations.
  • AI services: Certain features use third-party AI services for document analysis and communication drafting. When you use an AI-assisted feature — such as improving a WhatsApp message or analysing a quote — relevant booking details including client names and event information may be sent to our AI provider to generate the response. We do not send client data to AI services automatically or in the background. Data sent to these services is subject to those providers' data processing terms.
  • Legal requirements: We may disclose information if required by law, court order, or to protect the rights, safety, or property of Verdavu or others.
  • Business transfers: If Verdavu is acquired or merges with another entity, your information may be transferred as part of that transaction.

5. Your Clients' Data

When you use Verdavu to manage your venue operations, you act as the data controller for your clients' information. Verdavu acts as a data processor on your behalf. You are responsible for ensuring you have the appropriate legal basis to collect and process your clients' data, and for complying with applicable privacy laws in your jurisdiction.

You should have a privacy policy on your own venue's website that informs your clients how their data is used.

6. Data Retention

We retain your account and venue data for as long as your account is active. If you close your account, we will delete or anonymise your data within 90 days, except where retention is required by law or for legitimate business purposes such as dispute resolution.

Activity logs and audit trails are retained for 24 months to support dispute resolution and platform integrity.

7. Cookies

Verdavu uses essential cookies to operate the platform — specifically session cookies that keep you logged in. We do not use advertising cookies or third-party tracking cookies. You can disable cookies in your browser settings, but doing so will prevent you from using the platform.

8. Your Rights

Depending on your location, you may have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data
  • Object to or restrict our processing of your data
  • Request a portable copy of your data

9. Children's Privacy

Verdavu is a business platform not intended for use by individuals under 18. We do not knowingly collect personal information from minors. If you believe a minor has provided us with personal information, please contact us immediately.

We may update this Privacy Policy from time to time. We will notify active users of material changes by email or through a notice on the platform. Continued use of Verdavu after changes take effect constitutes your acceptance of the revised policy.
